CHECK-IN / CHECK-OUT
Upon arrival, all guests MUST provide sufficient identification (passport).
Earliest check-in time: 3:00 PM
Latest check-out time: 11:00 AM
Guests may request an early check-in or late check-out, subject to availability. We will do our best to accommodate such requests, but please note that they cannot always be guaranteed. It's recommended to contact the hotel in advance to arrange these options.
If guests arrive before the official check-in time, complimentary lockers are available at select locations to securely store luggage until the room is ready. No reservation is needed for the luggage storage as there is ample space available. Guests who wish to check in earlier may request an early check-in, which is subject to room availability and may incur an additional fee.
For check-out, guests must vacate the room by 11:00 AM. If a later check-out is needed, it can be requested in advance, subject to availability, and may also involve an additional fee. For those who wish to explore the area after checking out, complimentary lockers at select locations are available to store luggage, and no reservation is necessary due to the ample storage capacity.

3rd PARTY KEY COLLECTION
The room key can only be obtained by another person if:
• the person collecting the key has a copy of the booker's ID
• the booker sends an e-mail with the request to have another person collect the keys
• the person collecting the keys needs to present his ID, this will be stored in our system conform GDPR standards.

PAYMENTS
Terms of Payment
Getaway will issue a receipt for the full amount of the stay on the date before arrival. Accepted payment methods: MasterCard, Visa, Maestro/Bancontact, V-Pay, Wire Transfer, or Cash.
Your Credit Card is required as a guarantee for any additional charges, even if the booking has been fully paid in advance through third-party platforms like Booking.com. If full payment has not been made prior to arrival, it is due before check-in, unless explicitly agreed otherwise between Getaway and the guest.
BOOKING
Getaway will confirm all bookings to ensure accuracy. In the rare event of an overbooking, we will provide an alternative room or bed of equal or higher quality at no additional cost. If an equivalent option is unavailable, Getaway will offer a full refund for the affected booking.
If a refund is applicable, it will be processed promptly after approval. Please note that the exact processing time may vary depending on your payment provider.

CANCELLATION POLICY
Definitions
Individual Guests: Bookings of up to 4 rooms or stays of fewer than 5 consecutive nights.
Group Bookings: Reservations of 5 or more rooms or stays of 5 consecutive nights or more.

Non-Refundable Reservations
Payment: Reservations marked as non-refundable will be charged in full within 24 hours of booking.
Changes & Cancellations: Non-refundable reservations are strictly non-changeable. This includes any modifications to the reservation dates or transferring the reservation to another name. Once a non-refundable reservation is confirmed, it cannot be altered or cancelled without incurring the full cost of the stay.

Flexible Reservations for Individual Guests
Free Cancellation: For reservations of fewer than 5 nights, guests may cancel without any charges up to 24 hours before the scheduled arrival date (by 3:00 PM local time the day prior).
Late Cancellations & No-Show: If a cancellation is made less than 24 hours before the scheduled arrival, or in the case of a no-show, the full amount of the stay will be charged to the provided payment method.
Reservation Changes: Date changes are allowed up to 24 hours before the scheduled arrival, subject to availability. No fees apply for date changes unless the new dates have a higher rate, in which case the difference will be charged.

Group Bookings (5 or More Rooms) or Longer Stays (5 Nights or More)
Cancellation Fees:
o More than 30 days before arrival: Free cancellation.
o 30 to 15 days before arrival: 25% of the booking total will be charged.
o 14 to 5 days before arrival: 50% of the booking total will be charged.
o 5 days or fewer before arrival: 100% of the booking total will be charged.
Reservation Changes: Date changes for group bookings or longer stays are subject to the same fee schedule as cancellations if the request falls within the respective timeframes.

Cancellations by Getaway
Right to Cancel: Getaway reserves the right to cancel a reservation at any time up to 5:00 PM on the day prior to the scheduled arrival for valid organizational reasons (such as maintenance, unforeseen safety concerns, or other operational needs) or if there is a significant lack of trust regarding the guest.
Compensation: If Getaway cancels a reservation, any prepaid amounts will be refunded in full. If cancellation occurs due to reasons not related to guest behaviour, guests will be offered alternative accommodation of equal or superior quality at no additional cost.
Guest Misconduct: Getaway reserves the right to terminate the stay if guests engage in behaviour that causes damage, disturbs other guests, or violates the house rules. In such cases, any refund will be at Getaway’s discretion, and the guest may be held liable for damages.

General Terms for Cancellations & Changes
Communication: All cancellations and requests for changes must be made in writing via email to stay@getaway.be. A cancellation or change request is only considered valid once confirmed in writing by the reception.
Cancellation Confirmation: Once a cancellation is processed, a confirmation email will be sent to the guest’s registered email address. If you do not receive a confirmation, please contact the reception to verify the status of your request.
Compensation for Early Termination: If the agreement is terminated due to reasons related to organizational needs that do not involve guest misconduct, any prepaid sums will be reimbursed. If the stay is shortened by the guest without sufficient notice, the full amount of the remaining reservation period will still be charged.

FORCE MAJEURE
Getaway is not liable for any failure to perform its obligations or delays caused by events beyond its reasonable control. These events may include, but are not limited to, natural disasters, strikes, war, civil unrest, government actions, pandemics, or any other circumstances considered "force majeure." In such cases, bookings, cancellations, and refunds may be affected, and Getaway will communicate any changes or options available to the guest as promptly as possible.

GUEST OBLIGATIONS
House Rules
• Guests are required to always adhere to Getaway’s house rules.
• To maintain a comfortable environment for all guests, noise levels must be kept to a minimum during quiet hours, typically from 10:00 PM to 8:00 AM.
Condition of the Studio: Guests must leave the studio in "good condition." This means all furniture and equipment should be used appropriately, and the room should be left tidy with no visible damage (e.g., "stains, scratches, or broken items"). Cleaning expectations include disposing of trash in designated bins, removing personal belongings, and leaving dishes clean. Any damage to furnishings, appliances, or facilities will result in repair or replacement costs charged to the provided payment method.
Damages: Guests must report any damages or malfunctions immediately to the reception. Failure to report damages may result in additional charges.

Safety and Conduct
• Guests are strictly prohibited from bringing flammable, explosive, or hazardous materials into the residence.
• Electrical installations must not be overloaded, and fire safety equipment should not be tampered with or misused.
• Participation in illegal activities, including prostitution, human trafficking, or exploitation, is not permitted on the premises. We have a zero-tolerance policy for illegal conduct.
Zero Tolerance for Discrimination and Harassment: Getaway is committed to maintaining a respectful and inclusive environment for all guests. Any form of discrimination or harassment based on race, gender, religion, sexual orientation, or any other protected characteristic is strictly prohibited and may result in immediate termination of the stay without refund.

Guest Numbers and Extra Charges
• The number of guests staying in a studio must not exceed the number specified at the time of booking without prior approval from Getaway.
Procedure for Additional Guests: If you wish to add additional guests, please contact the reception in advance to seek approval. Additional charges may apply based on the room capacity and will be communicated during the approval process.
• If the number of guests exceeds the agreed-upon limit without prior notification, Getaway reserves the right to deny access to the additional guests or to terminate the reservation without a refund.

Non-Smoking Policy
• Getaway enforces a strict non-smoking policy in all indoor areas, including rooms, hallways, and common spaces. Smoking is only allowed in designated outdoor areas. This policy applies to cigarettes, electronic cigarettes, and any other smoking devices.
Violation Fee: If smoking occurs indoors, a cleaning fee will be charged to remove smoke odors and residues.

Use of Personal Data
• By default, your personal data will only be used for the processing of your booking and will be handled in accordance with our privacy policy, which is accessible on our website.
